HuddleOut Teams · new

Your teams have a budget. Most of them won’t use it.

Not for lack of wanting to. Ask a team lead why they haven’t planned anything and you’ll get the same answer every time. They meant to. But they didn’t find time.

HuddleOut Teams gives every team an amount they can spend, a list of places already cleared by procurement, and a way to agree on a date without a forty-message group chat.

The problem

Why the budget stays unutilised.

None of this is anyone’s fault. It’s what happens when planning an outing is a task someone does on top of their actual job.

Booking one thing takes six steps.

Find a venue. Check whether it can take eighteen people. Ask for a quote. Wait two days. Get it empanelled. Raise a PO. Somewhere in there a sprint starts and the whole thing goes quiet until the next quarter.

You know what you spent. You don’t know who came.

A team books for forty. Twenty-seven turn up. The invoice reads the same either way. So nobody finds out that the new joiners skipped it, or that Friday evening doesn’t work for half the team, and the same plan comes back next quarter.

A pottery studio needs the same paperwork as a software vendor.

MSA, GSTIN check, bank verification, insurance certificate. For a two-hour workshop. This is the real reason your teams keep going back to the same three restaurants.

How it works

Three moving parts. Everything else is on us.

01
Set an amount per person.

Upload the roster once and give each team a quarterly allowance per head. We work out the team budget and hold the ceiling. Nothing gets booked over it.

02
Teams pick from what's already in budget.

Leads and their people see a catalogue filtered to what they can afford. Everything on it is empanelled, priced, and ready to book. No quotes, no procurement, no waiting.

03
One invoice at month end.

Everything booked that month arrives on a single GST invoice, mapped to your PO, TDS already deducted. Finance deals with us instead of twenty venues.

The CHRO view

See it while you can still do something about it.

One page, every team, updated as bookings happen. You’ll know in week six which teams haven’t booked anything, which is early enough to go and ask why. Right now most people find that out in the quarter-end report.

  • Spend so far against budget, and where it lands if nothing changes
  • Teams that haven't booked anything, and how long it's been
  • What you paid for against who actually turned up
  • The mix of formats, so you notice if half your outings are at a bar
  • How you compare with other companies your size in your city

Nothing at an individual level, ever. Team and above only.

What teams get

The team lead does less, not more.

Most outings get planned by whoever on the team is willing to do it. That person deserves better than a group chat and a spreadsheet.

The lead gets told when it’s obvious
“Nine of fourteen are free Friday evening. Three of them want pottery.”
When more than half the team lines up behind the same activity or the same evening, we tell the lead. Two clicks and it’s booked.
People suggest things.

Anyone on the team can put forward an experience or back someone else's. The lead sees what the team actually wants instead of guessing.

Dates get sorted first.

A grid of possible dates and slots. People tap what works for them. The one that works for the most people rises to the top.

You find out who came.

A tap to confirm the day before, a check-in at the venue, a rating afterwards. That's where the attendance number comes from.

Vendor consolidation

Empanel us once. That’s the whole thing.

Every venue in the catalogue bills through our GSTIN, under our MSA, against your PO. Add a city or a new kind of experience and procurement doesn’t have to look at it again.

One MSA, one GSTIN.

Signed once, covers every venue and every experience we list.

TDS deducted at source.

Under 194C, on all venue payouts. Certificates issued to you.

Compliance pack on file.

Insurance, safety documentation, and incident history for every venue, kept current.

Billed against your PO.

Configured once. Every booking maps to it automatically.

What’s on the shelf
Adventure, dining, workshops, sports, day resorts and treks.

Curated by the team that has delivered 2,000+ events for Indian companies. Every venue has verified pricing and a written cancellation policy.

What it costs

A monthly commitment. Zero downside.

A monthly commitment, sized against your headcount and what you give each person per quarter. All of it is creditable against real bookings, so you’re paying for outings you were going to buy anyway.

Unused credit carries forward through the same fiscal year. No licence fee. No per-seat pricing. Nothing to true up when a team grows mid-quarter.

The construct
What the number is depends on your headcount and your per-head allowance. That’s a fifteen-minute conversation, not a pricing table.
  • 100% creditable against bookings.

Every rupee of commitment offsets a real booking. You are prepaying for outings you would have bought anyway.

  • Unused credit carries forward.

Nothing lapses inside the fiscal. Month one's unspent credit is still there in month twelve.

  • No licence fee.

You do not pay for the software. You pay for what teams book.

  • No per-seat pricing.

A team grows mid-quarter and your commitment does not move. Only your bookings do.

Book a walkthrough

Thirty minutes, and you’ll be looking at your own numbers.

Tell us your headcount and your per-head budget and we’ll build the dashboard against your org before the call. You’ll see your own teams, not a demo.
